We are seeking a Development and Community Outreach Officer with a passionate commitment to advancing HPO’s mission through meaningful stakeholder engagement.
Job Summary
The Development & Community Outreach Officer supports the work of the Development Manager and administrative t team, helping to expand the Hamilton Philharmonic Orchestra’s philanthropic networks and community partnerships. This role contributes to growing the funding base through prospect research, outreach, stewardship support and community-facing engagement, strengthening the HPO’s visibility and relationships across Hamilton.
Key Accountabilities
Reporting to the Development Manager and working collaboratively with the Executive Director and administrative/artistic teams, the Development & Community Outreach Officer leads the following:
Development Activities and Reporting– 40%
- Support the Development Manager and team in implementing the Annual Giving Plan, with emphasis on prospect identification and pipeline growth.
- Coordinate meetings and plans; Support the tracking of fundraising progress; take meeting notes and generate regular reports.
- Help coordinate with marketing to ensure fundraising emails, direct mail, social campaigns and other communications are produced and scheduled.
- Maintain grant and report calendars, preparing materials and supporting staff with submissions to foundations, government bodies and sponsors.
- Act as a lead owner of CRM database management for the team, maintaining data quality.
- Act as Front of House (FOH) representative for all HPO events at the concert hall and at community venues.
Community Outreach & Partnership Engagement – 30%
- Working with the Development Manager, plan and support HPO community outreach initiatives, helping maintain and expand partnerships with libraries, seniors’ programs, community agencies, cultural groups and neighbourhood organizations.
- Assist with planning and presenting outreach programs that increase access to orchestral music and community impact.
- Act as an HPO representative at outreach events, building positive visibility and relationships.
- Perform additional duties as required.
Prospecting, Sponsorship Support & Donor Stewardship – 20%
- Conduct prospect research to identify potential new donors, sponsors, funding bodies and corporate partners.
- Assist the Development Manager in cultivation and stewardship of donors and sponsors, ensuring timely follow-up and meaningful engagement.
- Support the planning and delivery of fundraising events, helping attract new supporters and strengthen funder relationships.
- Prepare written materials including cases for support, proposals, donor reports and stewardship communications.
- Attend HPO performances, donor events and community activities to support stewardship and represent the organization.
Grant Writing Support – 10%
- Draft, edit and submit grant applications as directed by the Development Manager.
Track reporting deadlines, deliverables and revenue allocation related to grant-funded programs.
Qualifications
Required:
- 2-4 years work experience in a development, sales or fundraising role
- Equivalent combination of education and relevant experience considered
Preferred:
- Post-secondary education in Fundraising, Non-Profit Management, Communications, Business, Marketing or related field
- Knowledge of classical music or a passion for the performing arts
- Experience in a fundraising capacity
